Microsoft Entra ID setup and maintenance

Configure Entra ID

  1. Sign in to Smartsheet with System Admin credentials.
  2. In Smartsheet, generate an API token under Account > Apps and Integrations > API Access > Generate new access token.
  3. The generated token operates using your credentials. This is the password to your account. Treat it as such.

  4. In Entra ID, work with your IT administrator to enable the Smartsheet gallery tile with the application ID 3290e3f7-d3ac-4165-bcef-cf4874fc4270.

Check out Microsoft’s Configure Smartsheet for automatic user provisioning help article for additional information. If you encounter any issues, feel free to reach out to Smartsheet Support through the Smartsheet Support Portal.

Provisioning and deprovisioning users

Refer to the following resources to learn how to configure the Entra ID provisioning service. This setup enables you to create, update, and deactivate users and groups in Smartsheet according to their assignments within your directory:

Tips and tricks

Consider these recommendations when provisioning or deprovisioning users:

  • Enable user auto-provisioning to prevent user accounts not in Microsoft Entra ID from being added to other Smartsheet plan(s)
  • When deprovisioning a user, their Smartsheet items stay in your plan. If necessary, you can transfer their content to another user.
  • When reviewing the mapping for provisioning, the default setting for the Smartsheet attribute userName (which represents the primary email address for a user's account) is configured to pull the userPrincipalName (UPN) from Entra ID. It’s important that these email addresses match; otherwise, duplicate accounts will be created.
  • Check out this Microsoft Support article for information on troubleshooting errors in Microsoft Entra ID.
