Advanced Resource Management reports provide enhanced flexibility to better align with your reporting needs. By customizing your data and leveraging premium apps, you can unlock deeper insights and extend the impact of your Resource Management data.
Before you begin
To get started, make sure you meet the following requirements:
- Smartsheet Authentication is required to sign in to Resource Management.
- You must have a permission level that grants access to reports and analytics in Resource Management.
- You need the ability to create new assets in a Smartsheet workspace.

- Extended visibility: Share Resource Management insights with users who have view-only access in Smartsheet but can’t access in-app RM Analytics.
- Advanced data customization: Manually adjust and analyze your data within Smartsheet to uncover insights beyond what’s available through the native Resource Management reports.
Use advanced reporting
For each advanced report, a Smartsheet row report, source sheet, and dashboard are automatically generated. The template for different report types may include additional reports. Learn more here.
Several important factors must be considered when setting up advanced reports in Resource Management to ensure a smooth and effective process.
Preparation and setup
Start by filtering your data in Resource Management when you build your report. This helps you stay within Smartsheet’s sheet limits. Before generating the advanced report, create the destination workspace or folder where your report will live. To streamline collaboration, consider adding a Smartsheet group to share the workspace with the intended audience. It’s also a good idea to manually set working hours per day in the source sheet summary and to customize the names of your sheet, report, or dashboard so they’re easy to identify later.
Limitations and data integrity
Be aware that once the advanced report is generated, the view and grouping options cannot be modified within the Resource Management report itself. Additionally, column names in the source sheet must remain consistent. Renaming or deleting any of these columnsl stop data refreshes until the original names are restored.
Keep in mind that advanced reports are not compatible with Smartsheet Control Center.
Custom fields and project tracking
If you're using a custom field on your intake sheet, for example, to designate a project’s blueprint type, it’s important to note that this field does not retroactively apply to projects that have already been created. You’ll need to manually track which projects require updates in Resource Management. To effectively filter your report to only include projects associated with a specific portfolio or program, make sure each project includes a relevant custom field, such as one labeled Blueprint Type, on the intake sheet.
