What permission levels do you need for DataMesh?

To use DataMesh, you must:

  • You must have Viewer permissions or higher on any source sheet, and Admin permissions or higher on any source report. Similarly, you need Admin permissions or higher on any target sheet.
  • Have the DataMesh application permissions enabled in the Admin Center by a Smartsheet System Admin.

Is there an additional cost for DataMesh?

Is DataMesh available for Smartsheet Gov or Smartsheet Regions EU and AU?

DataMesh is available in Commercial Smartsheet and Smartsheet Region EU. However, it isn't available in Smartsheet Gov and Smartsheet Regions AU.

When I have DataMesh purchased on my plan, who can use it?

Any user has access to creating workflows by logging in at datamesh.smartsheet.com if DataMesh is available on your plan.

DataMesh appears in the Launcher once a user logs in for the first time at datamesh.smartsheet.com. System Admins can further restrict access to DataMesh and other premium apps in the User Admin Center

What is the difference between using a VLOOKUP or INDEX/MATCH formula and DataMesh?

VLOOKUP and INDEX/MATCH can be used to create linked values through formula lookups between two sheets. This contributes to the cell link limits within Smartsheet and sheet performance.

DataMesh, on the other hand, doesn't require formula building, and the Copy Data and Copy and Add Data options don't count toward a sheet's cell link limit. 

Copy and Add Data can also be used to add new values to another sheet in Smartsheet, which can't be achieved with VLOOKUP or INDEX/MATCH.

 

When I need help, what are my support resources?

What are the known limitations of DataMesh?

All Smartsheet limitations still apply when working with DataMesh. Sheets today can support 20,000 rows and 400 Columns (DataMesh can support up to 190 mapped columns). Any given sheet supports a maximum of 500,000 cells, and each cell supports a maximum of 4,000 characters. 

If you would like to create a DataMesh from a dataset with more than 20,000 rows, consider DataTable, which supports up to 2 million rows.

If columns are renamed after workflow configuration is set up, will the columns need to be remapped?

Yes, columns need to be remapped if they're renamed. 

Can you use a report as a source?

You can use a row report, but not a sheet summary report. It allows you to select the sheet summary as a source, but you can't map fields, and the workflow configuration shows the error Something went wrong. Please try again later. If the issue persists, you can contact support. 

Can individuals transfer DataMesh workflows?

Yes, this is a self-service option for the workflow owner, but they must ensure that the new owner has Admin-level sharing permission or higher on both the source and target sheets.

Can you bulk transfer ownership of DataMesh configs for an org?

Yes, log a support ticket with the details of the user(s) you want to transfer from and to. The target user needs to have logged into DataMesh and have Admin access to the source and target sheets used by the configs. 

Can you change the source or destination sheets once a workflow has been created?

No, you have to create a new workflow if you want to change the source or destination sheets. 

Can I add filters to narrow down what should be pulled from one sheet to the next?

While the workflow builder doesn’t offer a filter option, you can use a report instead of a sheet as the source. Add filters to your row report to sync only specific rows. Make sure to include all the necessary columns in the report.

How can I update the timezone shown in DataMesh?

Since DataMesh is a web app, it uses your computer time, not your Smartsheet account time. 

When I change a user to Viewer or No Access from my True Up page, what happens to the workflows they own in DataMesh?

If you remove or downgrade a user’s sheet access below the required level, the DataMesh configurations they own stop working. The configurations continue to work as long as the user retains the required sheet access and their user ID remains valid.
