Delete a Sheet or Restore a Deleted Sheet

Free up space and remove the clutter of Smartsheet items that you no longer use by deleting them.

Permissions for Deleting Items

The capability of deleting a Smartsheet item depends on where it's located:

  • If a Smartsheet item isn't in a workspace, only the Owner of that item can delete it. 
  • People shared to workspaces with Admin-level permissions can delete items within them. (More on workspaces can be found here.)

NOTE: If needed, the owner of a deleted item has up to 30 days to recover it with the steps here.

If you don't have the appropriate permission to the sheet, report or template, you won't be able to delete it. Instead, you can Remove Your Shared Access to the item to remove it from Home in the left panel.


Completely Delete a Smartsheet Item

The way that you delete an item depends on whether you have opened it or not.

Delete an Item That You Have Open

If you have the Smartsheet item open and are currently viewing it, you can delete it by clicking File > Delete.

Delete an Item That You Don't Have Open

  1. Click the Menu icon (upper-left corner of the Smartsheet window) > Home.
  2. Right-click the item and select Delete.

    A confirmation message will appear before the sheet is deleted.
    TIP: To delete multiple items at once: hold the Shift key and select the items, then click the Delete delete button button.

Items that you delete are moved to the Deleted Items section in your left panel. If needed, you have up to 30 days to recover a deleted item, after which it becomes permanently erased and cannot be recovered.

What Happens When You Delete a Workspace or Folder

  • The Owner or anyone with Admin-level sharing permissions on a workspace can delete it.
  • All of the items in a deleted workspace or folder will also be deleted. (Sheets, templates, reports, and dashboards are all moved to the Owner's deleted items section and can be recovered.)
  • When deleted, workspaces and folders themselves cannot be recovered. Instead, you'll need to rebuild them.

To rebuild a deleted folder or workspace:

  1. Create a new workspace or folder. Details on this are available in the articles below:
  2. Click the Menu icon (upper-left corner of the Smartsheet window) > Home > Deleted Items.

    You'll see any deleted items that you own here.
     
  3. Click the Menu icon again and locate (but don't click on) the folder or workspace in the left panel.
  4. Drag the deleted items onto the folder on workspace in the left panel.

    TIP: You can hold the Shift and select multiple items to drag onto a folder or workspace in the left panel. 

Recover a Deleted Item

NOTES:

  • Once deleted, workspaces and folders cannot be recovered—you'll need to rebuild them.
  • Only the Owner of the deleted item may recover it.
  • You have up to 30 days to recover a deleted item, after which it is permanently erased and no longer becomes recoverable.

To recover an item that was deleted:

  1. Click the Menu icon (upper-left corner of the Smartsheet window) > Home > Deleted Items.
  2. Right-click the item and select Undelete. Recovered items will be moved back into your Sheets folder.

    TIP: You can also drag the item out of the Deleted Items section and drop it in a folder or workspace to undelete it.
