With integrations, you can connect Bridge to third-party party systems. You can use integrations to send or receive information to and from Bridge and, with some types of integration, to trigger workflows.

To use integrations, you must have an account with the third-party tool or service and register them in Bridge. How you register depends on the integration: for some, you can simply register an API key, while others require only a few clicks.

Either way, start by selecting the logo for the integration you want to register on the Integrations page. Then, a new window will contain instructions on what to do for that particular integration.

Smartsheet Bridge integration: Overview and setup

Bridge helps you connect data across systems and automates routine tasks, to improve workflows across teams. For example: 

  • You can trigger workflows when specific events occur on your sheet 
  • Use data in a sheet to drive outcomes in other systems, or 
  • You can update sheets with information from other systems.

To use the Bridge Smartsheet integration, you need to give it access to a Smartsheet account (register it with Smartsheet). Here's how to do that:

  1. On the Integrations page, find the Smartsheet logo and select it.
  2. In the window that appears, select Continue.
  3. In the Extension - Smartsheet registration window, select Authenticate.
  4. When you're prompted to allow the integration to access your Smartsheet account, select Allow.

You can use the Smartsheet integration to trigger workflows. 

Any workflows in Bridge containing Smartsheet modules have the same permission levels as the user who authenticated the integration.

Resource Management for Bridge: Integration Overview

The integration consists of both triggers and modules, that you can use to start workflows based on changes in Resource Management or to interact with Resource Management in workflows triggered by another system.

You must have an account with Resource Management and any other systems you want to include in your workflows.

You can start building Resource Management workflows before authenticating or creating triggers, but you get a popup reminding you to authenticate while doing so. You won’t be reminded to create triggers, but you can review the Trigger panel in the designer to see if any exist for the workflow you are building.

Authenticate your integration

  1. Log into Bridge by Smartsheet and navigate to the Integrations page. 
  2. Locate the Resource Management logo and select it. 
  3. In the Info tab, select Continue, and then Authenticate in the Connect Tab. 
  4. Follow the prompts. 

Create Triggers

Once authenticated, you get to a third tab called Triggers. You can choose to come back to this later or set up the triggers right away. Once you have added Resource Management modules in a workflow you can also access this pop-up by selecting the settings icon in the setup panel of the designer.

Frequently Asked Questions

How do I reference the value for Project Type in the triggers or modules related to projects?

Project Type is used to specify if a project is Confirmed, Internal, or Tentative. However, the label in the response from the Resource Management API calls it Project State. It is therefore called Project State in the Bridge Run Log to follow the Resource Management format.

How do I update another system with a work items status when it changes if it is always blank in the Run Log?

A work item’s status appears as status_option_label. You won’t want to use the data label Status, as it is specific to Resource Management only.

Why do I receive an error saying Time Entry Lockout field is incorrect?

The Time Entry Lockout field requires the values -1, 0 or any other number. In the Resource Management UI these numbers aren’t visible, but are represented by text. -1 Corresponds to Do not lock time entries for this project, 0 corresponds to Lock all time entries for this project and any other numbers result in Lock time entries for this project that are older than X calendar days

Brandfolder integration overview

Here are some examples of tasks you can automate:

  • Create Brandfolder Collections or Workspaces based on a status change in a sheet 
  • Get data about Brandfolders, Collections, or Workspaces to reflect that information on a sheet
  • Create direct links to Brandfolders, Collections, or Workspaces and use them to create hyperlinks in a sheet
  • Trigger an Update Request in Smartsheet when an asset is updated in Brandfolder

Set up the Brandfolder integration

  1. Navigate to the Integrations page in Bridge.
  2. Select the Brandfolder image. 
  3. In the dialog that appears, select Continue
  4. Authorize the integration by using your API key. 
  5. Select Connect, then Save
  6. Authenticate the integration by going to the Smartsheet integration. 

Create a new workflow

  1. On the left pane, select Workflows
  2. Select New Workflow.
  3. Name your workflow.
  4. Set up a trigger from an integration or schedule the workflow. 
  5. In your desired workflow, add Brandfolder or Smartsheet modules. 
  6. Arrange them in the order they need to happen. 

Use a State module between each integration module. Then, label them according to what happens next in the workflow.
