Using @mentions in comments

When you tag a person in a comment, they’ll receive a notification with a link to the comment in the sheet. How a person receives the notification will depend on their own notification settings.

Pro Plan users can send up to 300 emails from Smartsheet per day. Smartsheet emails are sent when you @mention someone in a conversation, send a row, share a Smartsheet item, send a form submission confirmation, etc. If you need to send more than 300 emails daily, you will need to upgrade to one of our other plans.

Tag someone in a comment

Type @<user’s email address>. If you are inside a WorkApp, you need to enter the complete email address.

You must be shared to a sheet to receive notification that you are included in an @mention comment on that sheet.

You’ll be prompted to share the sheet, and give appropriate permissions to them so they can have access to the comment. You’ll only receive this prompt if you have Owner, Admin, or Editor - Can share access to the sheet.

Respond to an @mention directly from email

When someone comments with an @mention, you can reply to the comment with one of the following options:

Option 1: Reply in the sheet

In the email notification, select Reply in Smartsheet.

When you select this option, the sheet will open in a new browser tab. You'll see the comment in the Conversations panel, where you can respond directly. 

Option 2: Respond directly to the email message

When you respond to the email, the response will create a reply to the comment in the sheet. Once you send your response, the sender will receive an @mention notification. (You may notice that the Reply-to email address will be Smartsheet Conversation with the email address notification++[unique conversation key]@reply.smartsheet.com.) 

You can only respond by email if you have permissions to create a comment on the sheet.

Email replies create @ mentions in the US version of Smartsheet only. This process is not supported in Smartsheet Regions. 

Users with Viewer permissions

If you have Viewer permissions and you received an @mention email, you will receive an invitation to view the sheet. You can’t respond to the email to create a comment. The received comment will appear as text only and attachments are not included.
