Request a one-time data backup
You can create one-time backups for sheet, folder, and workspace data as frequently as once every 24 hours.

To request a sheet or one-time workspace backup, you need Viewer permissions or higher. For recurring workspace backups, you must hold Owner or Admin permissions on the workspace.
Backup contents
- Backups include sheet data, comments, and attachments.
- Backups don’t include reports, dashboards, formulas, workflows, cross-sheet references, formatting information, or custom configurations.
- Workspace backups include sheet data from the workspace, not its structure. Backups keep your data secure. However, restoring your solution will require rebuilding each Smartsheet item.
- Backup files have a size limit of 4 GB.
Request a one-time backup from the workspace panel
Daily backups must be requested one at a time.
- On the left Navigation Bar, select Open workspace panel.
- Navigate to the workspace containing the item(s) you want to back up.
- To back up the whole workspace, select the kebab menu at the top right corner of the workspace panel.
- To back up a specific item (sheet or folder) within the workspace, select the kebab menu to the right of the item.
- Select Back up now. The Back up now option won’t display if a workspace doesn't contain any sheets.
Follow the instructions on your screen. Be sure to select Include attachments if you want them in your backup and Send me an email when backup is completed to get a confirmation message once the file is ready. Only users with owner permissions are eligible to receive these emails for one-time backups of workspaces.
The backup doesn’t include attachments from online sources, such as Google Drive, OneDrive, Box, Dropbox, Evernote, Egnyte, or URL.
- Select OK.
After you request a backup, you can download the backup directly from Smartsheet.
You can also schedule recurring weekly backups for a workspace if you're on a Business or Enterprise plan.
Request a one-time backup from Browse
You can also request a one-time backup from Browse:
- On the left Navigation Bar, select Browse.
- Right-click on the name of a sheet, folder, or workspace and select Request Backup...
- Follow the instructions on your screen. Be sure to select Include attachments if you want them in your backup.
- Select OK
