Bridge: Build a workflow

Use Bridge designer to create workflows.

Workflows are Bridge’s core feature. With them, you can:

  • Eliminate manual and repetitive tasks
  • Gather data across platforms and provide actionable insights

Bridge workflows are like the workflows in the Smartsheet app. They start running once they detect the triggers you set up. Then, a series of actions happens based on your set conditions.

However, Bridge workflows aren’t limited to the activities happening within the Smartsheet app. They can be more complex. 

The designer is where you create your workflows in Bridge. You can access it from Home by selecting New Workflow or one of your recently viewed workflows.

Combine elements in your workflow to gather data from various sources using integrations or API calls, manipulate the data with a wide range of Utilities, drive different outcomes using Junctions, and generate dynamic Rich Media responses.

Workflows structure

  • Triggers to define when the workflow runs.
  • States that collect data from the workflow and trigger/module data brought into the workflow from other systems.
  • Modules to manipulate, process, or gather data. These are found under Integrations and Utilities
  • Junctions to split your workflow into multiple possible outcomes when making decisions. 
  • Child Workflows to break out a portion of big workflows or for duplicated workflow sections.

Just drag and drop the element you need from the left menu into the designer. 

To set up each element, select it, and a panel appears on the right-hand side of the screen.

You can add as many states or modules to your workflow as required. 

You can't change workflow names after creation.

To merge branches of workflows: 
  1. Select the state or module you want to merge. 
  2. Hold down the ALT button (Option on Mac).
  3. Select the state or module below you want to merge with.

Errors when saving a workflow trigger

If you receive an error message when saving a trigger, review the following items:

  • Make sure you spell the column name exactly as you did on the sheet. 
  • If you typed in the sheet name instead of using the sheet ID, check that you also spelled this the same. 
  • If you aren't the sheet owner, check your sheet permissions to ensure you have access.

Other functionality and navigation

  • Exit  Brandfolder Image Designer : Closes the designer and takes you back to the Workflows dashboard.
  • Save  Brandfolder Image bridge icons : You must save any changes to your workflow. If you run your workflow after making a change without saving, the last saved version runs.
  • Revert Changes Brandfolder Image bridge icons : Reverts all changes made since you last saved.
  • Help Docs Brandfolder Image bridge icons : Takes you to the Bridge documentation in our Help Center.
  • Contact Support  Brandfolder Image bridge icons : Takes you to Smartsheet's support form, where you can contact our support team.
  • Run Log  Brandfolder Image bridge icons : Opens the Run Log. As your workflow triggers, each workflow run is listed here, along with the status and time since the start. By selecting individual runs, you can learn about the executed steps and any errors and access the data contained within the workflow.
