Learn how to effectively set up an authenticator app for accessing your Smartsheet account.

An authenticator app, like Google Authenticator or Microsoft Authenticator, generates a unique, time-sensitive code that acts as a second layer of security when you sign in to Smartsheet. This is called multi-factor authentication (MFA) and helps protect your account from unauthorized access.
Your Smartsheet System Admin may have enabled this feature to enhance the security of your account and comply with industry standards. Once enabled, you need to set up an authenticator app to sign in to Smartsheet.
While technically compatible with any authenticator app, Smartsheet officially tests and recommends Microsoft Authenticator and Google Authenticator. Support from Smartsheet is limited to configurations involving these recommended applications.
Set up your authenticator app
When your Smartsheet System Admin enables the authenticator app for your Smartsheet account, you must perform a one-time setup process during your next sign-in attempt.
- Download an authenticator app: If you don't already have one, download a recommended authenticator app to your mobile device. Smartsheet supports the following apps:
Start the setup: After entering your usual sign-in credentials, such as your email and password, or your one-time passcode (OTP), you can see a prompt to set up your authenticator app. Select Set up authenticator.

- Scan the QR code or enter the setup key:
- Open your authenticator app on your mobile device.
- Choose to add a new account.
- Select Scan a QR code and use your phone's camera to scan the QR code that displays on your Smartsheet sign-in screen.
- If you can’t scan the QR code, select Enter a setup key (or a similar option) in your authenticator app and manually type the code provided on the Smartsheet screen.
Verify with a one-time code: Your authenticator app generates a six-digit code. Enter that code on the Smartsheet sign-in screen.
The QR code shown in the image below is for illustrative purposes only. You should use a QR code generated by your authenticator app.

Complete sign-in: Once verified, your sign-in completes, and your authenticator app successfully links to your Smartsheet account.
This setup is only required once. After this, you can use the app for future sign-ins.
