Learn how to manage your existing DataTables.

Find out if this capability is included in Smartsheet Regions or Smartsheet Gov.
To use DataTable:
- You must hold Owner or Admin permissions on any sheets where a DataTable Connection will be built
- DataTable must be a premium application available on the plan
- You must have DataTable Premium Application permissions enabled in Admin Center by your Smartsheet System Admin

If you're an Admin on DataTable, you can share a DataTable with others in your organization, granting either Admin or Viewer access. If you created the DataTable, you are already an Admin; you can create additional Admins or Viewers.
You can manage all your DataTables to perform actions, such as the following:
- View all of your DataTables and DataTables you’ve been shared to
- Share your DataTables
- View, edit, and delete all sheet connections
- View and filter the data in a DataTable
- Add, edit, and delete fields in a DataTable
DataTable permission levels
Admins can:
- View, edit, and delete a DataTable
- View, edit, create, and delete records on a DataTable
- Modify permissions on a DataTable
- Manage DataTable connections
- Create Data Shuttle workflows.
Viewers can:
- View the DataTable
- View records in the DataTable
- Manage DataTable connections
Smartsheet System Admins can add and remove Admins and Viewers for all DataTables in an organization. To view all DataTables, the System Admin can toggle View all in the DataTable list view. A System Admin can share a DataTable with any other user on the plan, preventing DataTables from being left without an owner.
Manage DataTable connections
There are two ways to access existing connections:
In the sheet, go to the Connections and select your DataTable.
On the left navigation, select Browse and then select DataTables.
Delete a connection
Deleting a connection only removes the connection. It doesn't remove or alter the data in your sheet. You must manually delete the rows you don't want in your sheet.
- Go to Connections > Edit Connection.
- In the Table Connection Summary screen, select Delete Connection.
Enable or pause a connection
You might pause a connection to put a project on hold, perform troubleshooting, keep the data in the sheet for a specific time, or connect to a different DataTable.
- Go to Connections > Edit Connection.
- In the Table Connection Summary screen, select Delete Connection.
- Toggle off Connection enabled.
View error notifications for failed connections
DataTable users with Admin or Viewer permissions for a DataTable are notified whenever a sheet connection fails. DataTable sends you a notification with a link to the failed connection in-app or via email, depending on your notification settings. Following that link, you can review the connection summary and address any issues accordingly.
Note that error notifications only trigger on the first instance of a connection failure unless the error changes or the connection has been edited since the last occurrence.
Share a DataTable
You must be an admin on DataTable to share.
- Go to Browse > DataTables.
- Hover over the row you want to work with, then select the sharing icon.
- In the Share DataTable with others box, enter the user name you want to share the DataTable with.
- In the permissions box, select Viewer or Admin. You can change this setting at any time.
- Select Done to save your changes.
You can access sharing from the top right corner in DataTable.
- To remove someone from a DataTable, hover over their name and select delete [x] on the right side of the row.
To transfer the DataTable, follow the instructions above to add a new admin, then remove the former admin.
