How do resources become visible in the workload heatmap and workload schedule?

Anyone who is assigned work in a project sheet using a contact column that is a user on a Smartsheet plan will be created automatically in Resource Management. 

Will the project name and owner be visible in the workload schedule to help users resolve scheduling conflicts with their team members?

Yes, the project name and point of contact are visible. The project name is based on the sheet name, and the point of contact is the sheet owner. 

Does the workload schedule allow users to adjust assignments directly from the schedule?

Yes, sheet Owners, Admin, and Editors can edit the assignments directly on the schedule if they pertain to the project of the sheet that is open. 

Who can access my projects?

If your company is already using Resource Management by Smartsheet, then all Resourcing Admins and Portfolio Editors are to see the details of all projects and assignments on Resource Management. If you have questions, contact the Resourcing Admin for your organization. 

Can you use workload tracking for multi-assign scenarios?

We do support assigning multiple people to a single assignment in Smartsheet. This appears as multiple assignments at the same allocation level in Resource Management and the Workload Schedule. 

Can we use workload tracking with existing Resource Management projects already in progress?

Yes. You can use workload tracking for an existing sheet, and you can connect a sheet to an existing Resource Management project if you have Resource Management. 

 

 

With workload tracking, can I use work item descriptions in Resource Management?

With the workload tracking, can I use sub-tasks, status, and notes in Resource Management?

Yes, however, there is no connection to content in Smartsheet. Deciding whether to use them may depend on your use case, and where you want to track things like tasks and notes. We recommend that you track those types of details in Smartsheet and keep Resource Management high level and about the resource plan. If you make changes to your plan in the sheet and push them into Resource Management, the results may add, change, or remove assignments on your project. This could overwrite sub-tasks or notes in Resource Management.

What if we use placeholders in Resource Management?

Once you’ve activated workload tracking, you can assign placeholders that you’ve set up in Resource Management as assignees directly in your project sheets. Select the assignee field and select a placeholder from the dropdown list or type to search for placeholders by label, role, or discipline. Placeholders' assignments will appear in the panel just like team members, and can be added to Resource Management by selecting, Add to Resource Management.

Resource Management supports percent, hours/day, and fixed hour allocations. How does Smartsheet and workload tracking support this?

Smartsheet supports percent allocation (%). All allocations in the panel will show as a percentage. Hourly or fixed-hour allocation are set in Resource Management, but are converted to the equivalent percentage when viewed in the panel. It is also possible to allocate time in hours in a sheet by creating an hours column and using a formula in the allocation column to automatically convert the hour amount into the appropriate percentage.

What are unmanaged resources?

Resource Management automatically creates user profiles (Unmanaged Resources) when they are assigned to a project that utilizes workload tracking. Resource Management is working behind the scenes to power workload tracking. If you choose to upgrade to the Resource Management capabilities, this data will be available for you. Why does each user have to authenticate to use the panel? Does this have to be done every time we connect a sheet to Resource Management?

If you login into Resource Management using Resource Management SSO or username/password, you will have to authenticate the first time you open the Resource Management Panel. This ensures they have the correct access and permissions in Resource Management to see and edit assignments.

If you login using Login with Smartsheet, you do not have to manually authenticate to use the Resource Management Panel. 

How do I revoke Smartsheet’s access to my Resource Management Account or switch accounts?

If you use Login with Smartsheet for your Resource Management account, then you can choose which account to connect to the project when you begin workload tracking. If you need to switch accounts, use the ellipses menu to turn off workload tracking and start again from the beginning selecting the other account.

If you login to Resource Management using email/password or Resource Management SSO, then you will need to revoke access by opening the panel menu and choosing Revoke Resource Management. To switch to a different Resource Management account, log out of your current session, then reauthorize by selecting the Log In button in the panel.
