Use forms on the mobile app

All plans have access to offline forms. On Enterprise plans, a Smartsheet System Admin can deactivate the feature in Admin Center. 

Individuals can make each form available for offline use in the app on their device while they're online. They can then launch the mobile app without an internet connection if they're already signed in.

You must sign in to the Smartsheet mobile app before loading the form. 

Open forms from links

When you tap a Smartsheet form link on your mobile device, you land on the app. If you don't have it installed, you may be prompted to download it.

If you open a Smartsheet form from the mobile app, you can access it later from the Home or Recents screen in the Smartsheet mobile app.

Keep in mind

• Minimize the number of times you log out of the app. Logging out of the Smartsheet mobile app clears the list of draft forms and forms from the app’s Home screen.
• Avoid pinning Smartsheet form links to your device’s Home screen to prevent the forms from opening in the mobile app.

Open forms from a sheet

If a sheet has no associated forms, you don’t see the Forms option in the mobile app. First, create and edit a form on a sheet with the desktop version of Smartsheet.

To access an existing form: 

1. Open the sheet. 
2. In the upper-right corner of the screen, tap the three-dot menu  to expand the option menu.
3. Select Forms and choose the form you want to view.

Progressive form save 

When you fill out a form, you can easily switch to other sections of the app or even open different apps, as Smartsheet automatically saves a draft of your form. This allows you to return to it later without losing any of your progress.

The draft version with the timestamp indicating when it was last saved is in the Recent tab. You can use the Reset Form button next to the Submit button to clear all entered data and start over. 

Make a form available offline 

You must turn the offline setting on for every form you want to use while offline. 

1. While you're online, open the form you want to use when you're offline.
2. Select the three-dot More menu in the upper-right corner of the screen.
3. Slide the toggle for Make available offline.

Forms are the only feature offering offline interactivity. Any other items in the app require an active internet connection. 

Access and submit an offline form

1. Select the Offline tab on the home screen.
2. Select the form name. 
3. Fill out your form and select Submit.

Any submissions you make while offline appear once you've reconnected to the internet and authenticated as an authorized user on the account.

Submissions from unauthenticated users are rejected, and data is removed from the device once a connection is regained.

You can access offline forms from the Recents or Offline tabs on the home screen. 

To delete data from the device manually

• Open the form on your device and set Make available offline to off.
• Manually clear your cache.
• Delete the Smartsheet app.
