Who can use this capability

Resourcing Administrators, Portfolio Editors, and People Schedulers can update assignments in Resource Management. Owners, Admins, and sheet Editors can update assignments in Smartsheet.

Sync Resource Management assignments with Smartsheet

Assignments modified directly in Resource Management automatically update the associated rows in Smartsheet.  Also, certain changes made in Smartsheet automatically sync to Resource Management.

Resourcing Administrators, Portfolio Editors, and People Schedulers can update assignments in Resource Management. Owners, Admins, and sheet Editors can update assignments in Smartsheet.

This article is only applicable to users who have both a Resource Management and Smartsheet account.

Get started

Make sure you have set up the Resource Management Panel and account-level connection for your organization.

To enable assignment syncing on projects connected before March 2021:

  1. In the sheet, open the Resource Management panel.
  2. Note the project name at the top of the panel.
  3. Select the ellipsis menu at the top of the panel and select Disconnect Resource Management Project.
  4. On the next connect screen, choose Existing Resource Management Project.
  5. Search for the previously connected Resource Management project, then select that project.
  6. Select Connect Project. The sheet will now sync with Resource Management.

Update assignments in Resource Management

You can make assignment changes directly in Resource Management and have those changes automatically applied to the connected sheet. Changes in Resource Management to work item description, assignee, dates, and allocation can sync back to Smartsheet. These changes are automatic, with no extra steps or confirmation required.

Anyone who has edit privileges in Resource Management can make these changes. Resource Management users do not need access to the connected sheet. Changes appear in the activity log for the sheet as modified by the Resource Management Synchronization service.

Phase-based assignments are not yet supported, and there are many scenarios where syncing may not be possible. See the supported actions and unsupported actions tables below for details.

Update assignments in Smartsheet

Make your changes, then save the sheet. You may need to refresh your browser to see the updates.

How assignment syncing works

Assignment syncing only applies to sheets connected to Resource Management via the Resource Management Panel. Assignments changed in Resource Management are processed and applied (where allowed) to the connected sheet.

Want to see a history of changes? Use the activity log

Here's a sample workflow:

  1. Create a project sheet in Smartsheet.
  2. Use the Resource Management panel to connect it to a resource plan in Resource Management.
  3. Create placeholder assignments in the project sheet.
  4. Save the sheet. Placeholder assignments sync to Resource Management.
  5. In Resource Management, reassign the work from the placeholders to specific team members. In the sheet, assignee fields automatically update with the assigned team members.

If the change made is not allowed by the sheet (for example, editing the dates on a parent row assignment), the change will not be applied. In this example, the dates for the child row(s) must be updated in the sheet to match the new assignment dates in Resource Management.

The chart summarizes how changes made in Resource Management appear in Smartsheet.

Change made in Resource ManagementResult in Smartsheet
Reassign from one person or placeholder to another person or placeholderAssignee value updated in the sheet
Allocation value or type changedAllocation converted to equivalent % (if using other allocation types in Resource Management ) and updated in the sheet
Dates changedDates updated in the sheet
Work item description updated (added, changed, or removed)Text in primary field updated
Reassignment on multi-assigned rowThe person reassigned is updated in the row, all other fields remain unaffected.
Allocation change on multi-assigned rowThe allocation is updated for the row, which then applies to everyone assigned to that row*.
Date change on multi-assigned rowThe dates are updated for that row, which then applies to everyone assigned to that row*.
Work item description updated on multi-assigned rowThe text in the primary field is updated, which then applies to everyone assigned to that row*.
New assignment createdA new row with the assignment details is added to the bottom of the sheet.
Assignment removedThe assignee is removed from the row, but the row and associated details remain in the sheet.

Split an assignment

The first part of the assignment will update the end date for the associated row in the sheet.

The second part of the assignment will be created as a new row at the bottom of the sheet.

Repeat an assignmentThe additional assignments will be created as new rows at the bottom of the sheet.
Remove overlapping assignmentsAny assignments that are removed in Resource Management will have the assignee(s) removed from the associated row(s) in the sheet(s).
Edit values for an assignment in a sheet with locked rows, columns, or formulasCell values that are editable by a sheet admin will be updated in the sheet. Note that this may erase formulas entered into the cell.

Unsupported actions

Sometimes, a change made in Resource Management may not appear in the connected sheet; this may be due to locked fields, project hierarchy, or dependencies.

There are no alerts when a sync issue occurs (see sync error warnings). This chart shows common situations where the change made in Resource Management may not update the associated sheet.

Change made in Resource ManagementSync issue in Smartsheet
Edit dates for a person assigned to a parent rowDates for parent rows in Smartsheet are not editable.
Edit allocation for a person assigned to a parent rowAllocation for parent rows in Smartsheet is not editable.
Edit the start date for a person assigned to a dependent rowStart dates for rows with a predecessor are not editable.
Reassign a work item to a person who does not exist in Smartsheet or is not managed by the Smartsheet accountThe sheet will be updated with the user’s email address in Resource Management, but this user will not be recognized by the Resource Management Panel.
Reassign a multi-assigned assignment from a person to a placeholderRows in Smartsheet do not support a combination of named people and placeholders, and the update will fail, leaving the existing person still assigned in the sheet.
Edit allocation for an assignment when the sheet is using column formula to calculate allocationCells with a column formula are not editable.
Creating a phase-level assignment or copying an assignment to a phase

The Resource Management Panel integration does not support phases at this time.

The newly created assignment will not appear in the panel, nor will it be added to the sheet.

Remove an assignee from an assignment but leave the unassigned work item in Resource Management

The person will be removed from the row in Smartsheet, and the association between that work item in Resource Management and Smartsheet is removed.

Future changes to the assignments will be treated as if they are different assignments.

Change work item statusWork item status is not currently synced with data in the sheet.
Change notes or sub-tasksNotes and sub-tasks are not currently synced with data in the sheet.
Track time for the assignmentTime can be tracked against projects, phases, and categories, but tracking time against tasks is currently not supported.
Include custom informationThe fields that are synced through the panel are the primary field for that row – along with assignees, allocation, and dates. There currently isn't a way to include other custom information.
Manage allocation of resources by phaseResource Management phases are not currently supported in Smartsheet.
