Sync Resource Management assignments with Smartsheet

You can modify assignments directly in Resource Management and have those changes automatically update the associated sheet rows in Smartsheet. Or make changes in Smartsheet and have those changes automatically sync to Resource Management. For example, perhaps you’ve assigned a task to a placeholder using the Resource Management Panel. When you assign that task in Resource Management to a specific person, the assignee field in the associated Smartsheet sheet will be automatically updated.

Get started

Make sure you have set up the Resource Management Panel and account-level connection for your organization.

To enable assignment syncing on projects connected before March 2021:

  1. In the sheet, open the Resource Management panel.
  2. Note the project name at the top of the panel.
  3. Click the ... menu at the top of the panel and select Disconnect Resource Management Project.
  4. On the next connect screen, choose Existing Resource Management Project.
  5. Search for the previously connected Resource Management project, then select that project.
  6. Select Connect Project. The sheet will now sync with Resource Management.

Update assignments in Resource Management 

You can make assignment changes directly in Resource Management and have those changes automatically applied to the connected sheet. Changes in Resource Management to work item description, assignee, dates, and allocation can sync back to Smartsheet. These changes are automatic, with no extra steps or confirmation required.

Phase-based assignments are not yet supported, and there are many scenarios where syncing may not be possible. See Supported Actions and Unsupported Actions tables below for details.

Anyone who has edit privileges in Resource Management can make these changes. Resource Management users do not need access to the connected sheet.  Users with Resourcing Admin, Portfolio Editor, or People Scheduler permission in Resource Management can make changes without being shared to the connected sheet. Changes appear in the activity log for the sheet as modified by the Resource Management Synchronization service.

Update assignments in Smartsheet

Make your changes, then save the sheet. You may need to refresh your browser to see the updates. 

How assignment syncing works

As you change assignments in Resource Management, these changes are processed and, where allowed, applied to the connected sheet. Assignment syncing only applies to sheets connected to Resource Management via the Resource Management Panel.

Here's a sample workflow: 

  1. Create a project sheet in Smartsheet.
  2. Use the Resource Management panel to connect it to a resource plan in Resource Management.
  3. Create placeholder assignments in the project sheet.
  4. Save the sheet. Placeholder assignments sync to Resource Management.
  5. In Resource Management, reassign the work from the placeholders to specific team members. In the sheet, assignee fields automatically update with the assigned team members.

If the change made is not allowed by the sheet (for example, editing the dates on a parent row assignment), the change will not be applied. In this example, the dates for the child row(s) must be updated in the sheet to match the new assignment dates in Resource Management.

Split an assignment


The first part of the assignment will update the end date for the associated row in the sheet

The second part of the assignment will be created as a new row at the bottom of the sheet

Repeat an assignment

The additional assignments will be created as new rows at the bottom of the sheet

Remove overlapping assignments

Any assignments that are removed in Resource Management will have the assignee(s) removed from the associated row(s) in the sheet(s)

Edit values for an assignment in a sheet with locked rows, columns, or formulas

Cell values that are editable by a sheet admin will be updated in the sheet. Note that this may erase formulas entered into the cell.

Unsupported actions

Sometimes, a change made in Resource Management may not appear in the sheet in Smartsheet; this may be due to locked fields, project hierarchy, or dependencies. 

This chart shows common situations where the change made in Resource Management may not update the associated sheet. It is important to keep these scenarios in mind when making changes in Resource Management as there are no alerts when a sync issue occurs (see sync error warnings). You may also consider how to structure assignments in the sheet differently to avoid some of these scenarios.

Reassign a work item to a person who does not exist in Smartsheet or is not managed by the Smartsheet account

The sheet will be updated with the user’s email address in Resource Management , but this user will not be recognized by the Resource Management Panel

Reassign a multi-assigned assignment from a person to a placeholder

Rows in Smartsheet do not support a combination of named people and placeholders, and the update will fail, leaving the existing person still assigned in the sheet

Edit allocation for an assignment when the sheet is using column formula to calculate allocation

Cells with a column formula are not editable

Creating a phase-level assignment or copying an assignment to a phase

The Resource Management Panel integration does not support phases at this time.

The newly created assignment will not appear in the panel, nor will it be added to the sheet

Remove an assignee from an assignment but leave the unassigned work item in Resource Management 

The person will be removed from the row in Smartsheet, and the association between that work item in Resource Management and Smartsheet is removed

Future changes to the assignments will be treated as if they are different assignments

Change work item status

Work item status is not currently synced with data in the sheet

Change notes or sub-tasks

Notes and sub-tasks are not currently synced with data in the sheet

Track time for the assignment

Time tracking data is not currently with data in the sheet
