Open forms in the Smartsheet Mobile App

In the Smartsheet Mobile App, you can open forms you own or have access to.

Forms in the Smartsheet Mobile App have a mobile-centric layout and responsive design. When you use forms in the Smartsheet Mobile App, you can easily input data. For example, you can scan barcodes and add a link to your location in Text/Number fields.

Open the form with the link

When you tap a Smartsheet form link that you’ve received on your mobile device—for example, in an email message—you’ll land on the Smartsheet iOS app to fill out the form.

Form Link

If you open a Smartsheet form from the mobile app, you can access it later from the Home or Recents screen in the Smartsheet Mobile App.

Here are some best practices when using Smartsheet forms on your iOS device:

  • Minimize the number of times you log out of the application. Logging out of the Smartsheet Mobile App will clear the list of forms from the app’s Home screen.
  • Avoid pinning Smartsheet form links to your device’s Home screen—doing this prevents the forms from being opened in the mobile app.

Open forms from a sheet

If no forms have been created on the sheet, you won’t see the Forms option in the mobile app. You must first create a form on the sheet with the desktop version of Smartsheet.

Once you’ve created a form, you can access it in the Smartsheet Mobile App using the steps below:

  1. Open the sheet.
  2. In the upper-right area of the screen, tap Menu The Menu icon.
  3. Select Forms, and tap the form you want to view.

Select Form

Your form will be displayed in the app.

Take pictures and mark up images before uploading them

If you have Editor access or higher access on a sheet, or if you’re filling out a form which includes a File Upload field, you can take a picture or upload attachments directly to your sheet, row, or form submission.

After you’ve selected files to upload, you’ll see the file confirmation screen. To rename, delete, or edit the attachment, select the menu button next to any image file in the list.

Rename Delete Edit

Select Edit from the menu to modify the image by cropping, rotating, or marking it.

Scan barcodes to track and find inventory

You can scan a barcode only in Text/Number fields.

Use the mobile app and the camera on your mobile device to add information to your sheet/form or to search for information by scanning a barcode.

You can scan barcodes to add data or search for existing data:

  • To add barcode information to a cell: When a cell is selected or above the keyboard while editing a cell, in the toolbar, tap the barcode Barcode icon.
  • To add barcode information from a form: While editing a form field, tap the barcode Barcode icon located above the keyboard.
  • To search Smartsheet with a barcode: In the Search bar, tap the barcode Barcode icon.

The Smartsheet for iOS app supports the following barcode types:

1-Dimensional

ITF14

EAN-8

2-Dimensional

EAN-13

QR

UPC-E

Data Matrix

Code-39

PDF-417

Add a link to your GPS location in a cell or form

If you need to report a location while editing a cell or submitting a form, then you can add a link to your GPS location.

You can only add a link to a location in text/number cells and form fields.

To create a link to a location in a Text/Number cell or form field

  1. Select the cell or form field where you want to add the link to your location:
    • To add to a cell: When a cell is selected or above the keyboard while editing a cell, in the toolbar, tap Location icon  . This will allow the Smartsheet app to find your current location.
    • To add to a form field: While editing a form field, tap Location icon located above the keyboard.
  2. Adjust the pin on the map as needed, and tap Select.

After doing the steps, the link to the selected location is added to the cell or form field. The link appears as the latitude and longitude of the location.
