An efficient way for users to view information tailored specifically to them is by creating a report that utilizes the Current User filter, such as a Task List report. Smartsheet identifies the logged-in user and cross-references their details with the data in the Contact List columns. This allows you to generate a single report that dynamically applies to all users shared on the report and the associated sheets.

To create a current user report:

Current User Report in Smartsheet:

  1. Open Smartsheet and Select Report Type:
    • Navigate to the Home tab or desired workspace.
    • Select Create and Report from the options.
  2. Choose Report Type:
    • Select Row Report to create a report that displays rows from one or more sheets.
  3. Select Source Sheets:
    • Choose the sheets from which you want to pull data. You can select multiple sheets if needed.
  4. Add a Filter for Current User:
    • In the report builder, go to the Filter tab.
    • Select Add Filter and choose the column that contains user contact details (e.g., Assigned To or Contact List).
  5. Apply Current User Filter:
    • Set the filter condition to is equal to or is and then select Current User from the dropdown menu. This will ensure that the report dynamically displays information related to the logged-in user.
  6. Customize Columns and Layout:
    • Adjust the columns to display the relevant information you need in the report.
    • You can also reorder columns, apply sorting, and adjust the layout to suit your preferences.
  7. Save and Share the Report:
    • Select Save and give your report a name.
    • Share the report with users or groups as needed. The Current User filter will automatically tailor the report to each user based on their login details.
  8. Test the Report:
    • Log in as different users or have your team members check the report to ensure that it displays the correct information based on the Current User filter.
