Portfolio WorkApps troubleshooting FAQ

Find answers to some of the most common questions you may have when using Portfolio Workapps.

Who can use this?

Anyone invited can use a WorkApp. You must have a Smartsheet Advance or Smartsheet Advanced Work Management plan to create and edit WorkApps. If you're shared to a WorkApp, you can view and use the app as per the roles assigned by the app builder.

Can I use Portfolio WorkApps with older programs?

No. Portfolio WorkApps only works with new portfolios. You can rebuild the program, and as a new program, it can generate Portfolio WorkApps. 

I added people to the intake sheet, but they don't appear in the Project WorkApp.

New people on the intake sheet are automatically added to the Project WorkApp when new projects are created. For existing projects, you must add new people directly in the WorkApp. Adding them to the intake sheet doesn't update the WorkApp. 

Why was my Project Owner replaced by the Portfolio Manager?

When you create a new project, the project owner (or project manager) on the intake sheet also owns the WorkApp. That owner must have permissions to create items in an Enterprise, Advance, or Advanced Work Management plan. If the project owner doesn't have the correct permissions, the Portfolio Manager becomes the default owner.

Can I use Portfolio WorkApps with multi-tier? 

No. You can't create Project WorkApps from multi-tier child blueprints. 

Why can't I transfer my Portfolio WorksApps to a new owner?

Likely, the person you're transferring the Portfolio WorkApp to doesn't have the correct permissions. They must have permissions to create items in an Enterprise, Advance, or Advanced Work Management plan.

I built a project, but there's no associated project WorkApp.

WorkApps are automatically enabled on all Enterprise plans in your blueprint builder.

  1. In Control Center, open the program where your project lives. 

  2. Hover over the project name and select the pencil icon on the right.

  3. Select Update Reporting.

Why isn't my project provisioning? I keep getting an error message.

  1. In Control Center, open the program where your project lives, and select Manage Program
  2. Navigate to the WorkApps Settings page in the blueprint builder. 
  3. Set the WorkApp URL, WorkApp project owner, and WorkApp roles.
  4. Navigate through the rest of the blueprint builder pages to update your blueprint. 
  5. Try provisioning your project again.
