View-only assets are a way for Admin users to have complete control over who downloads an asset wherever the asset exists (Brandfolder, Collection, or sharelink).

Set an asset as view only
- Select the assets that you desire to set as view only.
The bulk toolbar appears. Within the bulk toolbar, select Mark as view only.
If you don't see the view-only option on the bulk toolbar, contact Brandfolder support to find out whether your plan includes this feature.
- A new confirmation modal appears. Confirm the view-only asset status change by selecting Save Changes.
The asset is now in a view-only state. This means the asset is marked as view-only everywhere it exists. This ensures that the asset can't be downloaded anywhere and that the asset's rights can be managed appropriately via the request download flow.
Once in the view-only state, the asset appears with a view-only icon, and users have to request to download it. Brandfolder Admins receive requests for downloads that require approval via email and in the notifications center within My Profile > Notifications.
View only collections
You can set an entire collection to View only.
- Open the collection.
- Select Settings > General Settings.
- Select the Advanced tab.
- Enable View Only.
Any changes save automatically, and now you have a view-only collection.
View only asset experience
No one, including Admins, Collaborators, and Guests, can download or view-only assets. However, they can select view-only assets and request to download them by filling out a form with their name, email, company, and usage details.
If a user selects a mix of view-only and downloadable assets, they're notified that one or more of the selected assets are view-only and won't be included in the download.
