Who can use this capability

Owners can create, edit, and add users. Administrators can edit and add users to portals. Collaborators and Guests can interact with portals.

Portals are customizable experiences where organizations can introduce a subset of users to the most relevant information and content. 

Creating a Portal

  1. Navigate to the Organization level.
  2. Select Create New and choose Brand Portal.
  3. This will redirect you to your newly created Portal. 

Portal objects

  1. Header, Privacy and Search bar
  2. Tiles for links
  3. Links to other portals and sites
  4. Widgets to expose asset data

Header, privacy, and search bar

These configurable options all operate the same way customizations work on the Brandfolder. 

  1. Navigate to the ellipses menu in the upper right-hand corner and select Portal Settings
  2. From here, you can update the general settings, including slug, description, and privacy. 
  3. You can update the Brand color and Header image within the Customize tab.
  4. The admin also has the ability to input a specific Org or Brandfolder  URL that would allow users to search from. 

Tiles for links and forms

Tiles allow for a customized, visual approach to key sites within Brandfolder and the web and Smartsheet forms to be highlighted and accessible by users of the Portal. Tile sizes can be broken down into thirds or take up the full width of the page.

Templates to assist with the sizing of custom tile images for 1/3, 2/3, and full-width tiles are in the attachments at the bottom of this article.

Configuring a navigation tile

  1. Select + Create Tile
  2. On the modal that appears, select Tile Type. You can now start adding the requested information. This includes:
      • Tile size
      • Name
      • Link URL
      • Description
      • Tile image
  3. Once the information is complete, select Create Tile.  

Configuring a Smartsheet Form

  1. Select + Create Tile
  2. From the Tile Type dropdown, select Smartsheet Form
  3. Add the requested information, which includes:
      • Tile size
      • Form Name
      • Form Description
      • Button Text
      • URL
  4. Once the information is complete, select Create Tile

Links to other Portals and sites

On the side of the Portal, you have the option to create links to other sites for easy navigation. These links can be to sites outside of Brandfolder and links to other Portals within the Organization. 

Configuring a link

  1. Navigate to the right-hand side of the portal and select either + Portal Link or + Add Link
  2. Add the requested information, which includes:
      • Name
      • Link URL
      • Link Icon
  3. Select Create Link

Widgets

Widgets are customizable tiles that are specific to showing insights that are happening within a particular Brandfolder. Widget options include:

  • Featured assets - this pulls in all assets tagged with the term Featured
    • The easiest way to add featured assets is through the bulk tagging tool
  • Recently created assets
  • Recently updated assets
  • Top scored assets

Configuring a widget

  1. Navigate to the bottom of the portal and select + Create Widget.
  2. Add the requested information, which includes:
      • Name
      • Content Type
      • Brandfolder
  3. Select Create Widget. 

 

Use the pencil icon to edit all settings, tiles, links, and widgets.

Preview your portal without the edit buttons by navigating to the top right-hand side of the Portal and selecting Switch to preview mode.
