View allocation heatmap

On the schedule, the allocation heatmap shows the availability two months into the past and one year into the future for each person.

Who can use this?

Plans:

  • Resource Management

Permissions:

Resourcing Administrators, Portfolio Editors, People Schedulers, Portfolio Reporters, Portfolio Viewers, and Project Editors can view the allocation heatmap.

Find out if this capability is included in Smartsheet Regions or Smartsheet Gov.

  1. At the top of the screen, select Schedule. 
  2. To expand the left menu, select Everyone.
  3. Select People and then select Allocation Heatmap.

Varying shades of gray are used to show allocation, unless a person is over-capacity. Then the allocation is red.

To expand or collapse a person's schedule details, hover in the top right corner of the cell with their name, and then select the details icon. 

To filter on allocation for a specific person, on the left sidebar, under People Filters, select Team Member

Availability, over-allocation, and the allocation heatmap are only shown for up to 60 days in the past.
 

The Team Member must have a start date in their profile or their allocation won't appear.
