View allocation heatmap

On the schedule, the allocation heatmap shows the availability two months into the past and one year into the future for each person.

Who can use this?

Plans:

  • Resource Management

Permissions:

Resourcing Administrators, Portfolio Editors, People Schedulers, Portfolio Reporters, Portfolio Viewers, Project Editors

Find out if this capability is included in Smartsheet Regions or Smartsheet Gov.

  1. In the top navigation, select Schedule. 
  2. Select the menu icon (under My Work) to expand the menu.
  3. Select People. Red indicates the person is over capacity.

  1. Use the up or down carat to expand or collapse a person's schedule details.

Availability, over-allocation, and the allocation heatmap are only shown for up to 60 days in the past.

See allocation for only one person

On the left sidebar, under People Filters, select Team Member and then clear the checkboxes from all other names.

If a Team Member's allocation doesn't appear, add a start date in their profile.
