Fill out Smartsheet forms using your voice

With AI, forms can both capture and understand your form submissions. Use Smartsheet's intelligent form fill feature to speak your responses and automatically enter your answers into the appropriate fields.

With intelligent form fill, authenticated, signed-in form submitters can populate an entire Smartsheet form by speaking or pasting a block of text into a single input field.

This feature uses AI to understand everyday language. You can use phrases like “assign to me” or “remind me in a week.” It’s also capable of converting units, such as hours to minutes. Additionally, you can fill out multiple fields at once.

Intelligent form fill is available for web form submissions on both desktop and mobile.

Only authenticated, signed-in users can access intelligent form fill. This feature doesn’t support anonymous, non-authenticated form users.

Access intelligent form fill 

  1. Open the form in your sheet and load it.
  2. Select the Speak to fill button on the form's top right corner.

If you already have the responses in your notes, such as meeting summaries or medical notes, paste them into the Speak to fill text box. Intelligent form fill automatically analyzes and fills in the appropriate fields.


Speak to fill out your forms

  1. Speak your answers for the entire form, or update individual fields. As you speak, the text appears. You can also edit the text directly if necessary.

    You can use the intelligent form fill feature for up to 4,000 characters, approximately 750 words.

  2. Select Fill form. You can see your answers automatically populate in the corresponding fields.

  3. If you need to make changes, you can either edit the form fields directly or select Speak to fill again to request the necessary edits.

Notes

  • Intelligent form fill is available only for web form submissions on desktop or mobile devices, and it’s not supported on the Smartsheet mobile app.
  • You can turn off intelligent form fill for individual forms by toggling Restrict speak-to-fill on this form within the form’s settings in the form builder.
  • You need a stable internet connection for the AI transcription service to work correctly.

Form localization

If your form is in a specific language, or if you’ve set your personal language preference in your account settings, intelligent form fill automatically recognizes the speech in that language. As soon as you start speaking, it detects the language, transcribes your input into the text box, and helps you complete the form accordingly.


How intelligent form fill handles contact lists

To successfully assign a contact using their name instead of their full email address, you must configure the contact list column in your sheet with a pre-defined, restricted list of contacts.

Intelligent form fill with contacts is most efficient for users who frequently fill out the same form, as they’re more likely to know and accurately speak the exact names or options available in the form’s dropdown and contact lists.

Also, any email addresses you speak only save as a formal contact data type in your sheet if they match an existing entry in your Smartsheet Contact List. If it doesn’t match, the input automatically saves as a text string in your sheet.
