Conditional formatting in table, board, and timeline views

Use conditional formatting to automatically highlight key information in your sheets, making them easier to read and more valuable for your whole team.

Feel free to switch views at any time. Switching to table view from any other view doesn’t change data, ensuring consistency across all views.

Conditional formatting lets you create rules that automatically update the formatting of individual cells or entire rows when specific criteria are met. For example, past-due tasks can be displayed in red and bold to make them easy to spot.

Conditional formatting doesn’t change cell values. To change cell values based on criteria, use a formula.

When you create conditional formatting rules, first you need to set the rules for your condition. Then you define the applied formatting. Finally, you pick where you want the format applied.

Create conditional formatting rules

  1. In table, board, and timeline view, select Format rules from the toolbar.
  2. In the Format rules panel, select Add > Conditions.
  3. In the field drop-down, select the column you want to build the rules for.
  4. Next, select the rule criteria, such as equal to, less than, and more, and then the condition.
  5. Select the table drop-down to pick which columns have the formatting applied.
  6. Select the text box and the item color option to set any formatting changes. 

Once your criteria and formatting settings are determined, use the toggle to enable or deactivate the rule. You can also drag and drop the conditional formatting rule within the panel, noting that higher rules take priority.
