Use forms to turn unstructured data collection into structured insights. When you create a form in Smartsheet, the responses feed directly into the connected sheet. You can arrange, edit, and set up automations on the sheet to organize incoming data, trigger alerts or updates, and streamline your workflows based on form submissions.

Automated workflows

Automated workflows can replace manual, repetitive tasks with flexible, automated workflows. You can start from a template or set up a custom workflow based on triggers or changes to your sheet. Use automation to send alerts to your team, set up reminders about upcoming deadlines, request updates or approvals, move rows, or assign a task.

Example: Ask for missing information after a form submission
Set up your form in a way that collects your submitter’s email address, whether via email validation as a contact in a Contact column or by adding a Created by system column and requiring submitters to log in to complete the form.

Set up an automation to send an email to that contact in case any columns are blank or you need extra information.

Dynamic View

With Dynamic View, you can share the data that matters, without exposing the entire sheet. Allow others to view and edit specific details while keeping the rest of your information private. Manage critical business processes with vendors, mixed internal and external teams, or across organizations, without them knowing about each other.

Example uses:

  • Simplify complex workflows. Tailor each person’s view to show only what’s relevant, while providing visibility into process execution states.
  • Manage third-party vendors. Maintain vendor data sensitivity and privacy while working with external partners.
  • Support request management. Use forms to collect, track, and manage requests with built-in filters and required fields.

Use Dynamic View to share a streamlined and filtered view of your intake sheet. This will allow users to edit their submitted data or provide visibility into their requests.

Reports

Create a row report using your form submission sheet as the data source. Work directly from the report, treating the sheet as the data repository. Use the report to display only the desired columns and easily group, aggregate, and sort form submissions, ensuring new rows automatically appear in the correct order.

Dashboards

Turn form responses into real-time insights with dashboards. Embed your form, visualize live data, and track key metrics. Creating a dashboard can help identify trends and boost cross-team visibility.

You can also create dashboards with different links to the same form, where each link has query strings that control conditional logic in the form. This way, you can make quick links for different types of requests that are all processed centrally.
