Filter your data in table, board, and timeline view

Use filters to show or hide information in your sheet and quickly find what you need.

Smartsheet filters let you cut through the noise and focus on exactly the data you need. 

Whether you're in table, board, or timeline view, you can apply saved filters, stack on additional criteria, or build new ones from scratch, and share them with your team when needed. Switching views won't change your data; keep everything consistent across views. 

Whenever a filter is active, an icon appears in the column header so you always know which columns are being filtered.

Create a new saved filter

Create a filter to define exactly which rows you want to show or hide. Create saved filters to use later.

  1. Select Filter in the toolbar.
  2. Select New saved filter from the saved filter dropdown menu.
  3. Name your filter.
  4. Select Just me to keep it for yourself, or change it to Shared to make the filter available for other sheet users.

  1. Select your filter criteria. Edit or add any filter criteria as needed.
  2. Optionally, you can show parent rows or change your filter criteria from "And" to "Or".
  3. Select Save.

Edit saved filters

You can update a saved filter at any time: change its name, adjust the criteria, or modify who it's shared with. To edit an existing filter:

  1. Select Filter in the toolbar.
  2. Hover over the filter you want to edit and select the pencil icon.

Here you can delete the filter, change its name, change who's shared to the filter, and update its criteria.


Duplicate a saved filter

If you need a filter similar to one you've already built, duplicate it and adjust the copy instead of starting from scratch. 

  1. Open the saved  Filter dropdown menu in the toolbar.
  2. On the row of the filter you want to duplicate, select the duplicate filter icon.

A copy of the filter is added to your saved filters list. You can then edit it as needed.


Filter further

If you have a saved filter applied, you can quickly add additional filters to further segment your data. You can save these ad hoc filters or remove them if they're only temporary.

With a saved filter applied:

  1. Select + Add a filter.
  2. Choose your filter criteria.
    1. You can filter based on columns or rows.
    2. You can use various options for columns, such as is one of, is not one of, is blank, and more.

You can use the  x icon to quickly clear any ad hoc filters or select Save filter to create a new filter.
