Use Smartsheet authentication for Resource Management

Smartsheet authentication allows users to sign in to Resource Management with their Smartsheet credentials.

Permissions

You must be a Resourcing Admin on Resource Management and a Sys Admin on Smartsheet to configure Smartsheet Authentication for Resource Management.

Before you begin

  • To use Smartsheet authentication, first set up the Resource Management integration connection
  • Ensure all users that you add to your Resource Management account are licensed or unlicensed free members of your Smartsheet organization.
  • Designate another Resource Management admin with SysAdmin permissions in Smartsheet before you switch your org to Smartsheet authentication. 

It’s best practice to have at least two people who are both a Resourcing Admin on Resource Management and a System Admin on Smartsheet.

Federated sessions

If you have Smartsheet authentication for Resource Management activated, federated sessions activate by default. When logged into Smartsheet or any other Premium App, federated sessions automatically log you in upon navigation, bypassing the Resource Management login page.

Activate Smartsheet authentication

  1. Sign in to your Resource Management account at https://rm.smartsheet.com/si.
  2. In the upper-right corner, select Settings > Account Settings.
  3. Select the Authentication tab.
  4. Choose Smartsheet Authentication.
  5. Select Save to confirm your selection.

User Auto Provisioning (UAP) for Resource Management

When you activate UAP for Resource Management, users are automatically added to your organization and granted a license. You don't need to send invitations. All users default to Portfolio Reporter permissions.

When to use UAP for Resource Management

Auto-provisioning works best when you want all users to have the same permission level and all users to be licensed.

If you have managed resources, want to assign different permission levels to each user, or want to restrict the number of licenses you issue, don't use UAP. Invite your users via email instead.

Activate UAP for Resource Management

  1. Log into Resource Management.
  2. Select Account Settings > Authentication.
  3. Check the Autoprovision checkbox. 
  4. Optional: Select a default role from the dropdown.

Profile updates

When your account uses Smartsheet Authentication, basic identity fields such as profile picture, name, email, and office/cell phone numbers are managed in Smartsheet and locked in Resource Management. Any updates you make to contact information in Smartsheet will automatically reflect in Resource Management. Learn more about updating contact information for others or yourself in Smartsheet.
