Who can use this capability

To request a sheet or one-time workspace backup, you need viewer permissions or higher.

To request recurring workspace backups, you must be the workspace owner or admin.

Request a one-time data backup

You can create backups for sheet and workspace data as frequently as once every 24 hours.

To request recurring workspace backups, you must be the workspace owner or admin.

Backup contents

Backups include sheet data, comments, and attachments.

Backups do not include reports, dashboards, formulas, workflows, cross-sheet references, formatting information, or custom configurations. Workspace backups include sheet data from the workspace, not the structure of the workspace. Backups keep your data secure; however, restoring your solution will require rebuilding each Smartsheet asset.

Request a one-time backup

Daily backups must be requested one at a time. 

  1. On the left Navigation Bar, select Browse.
  2. Right-click on the name of a sheet, folder, or workspace and select Request Backup. If a workspace doesn't contain any sheets, Request Backup does not appear. 
  3. Follow the instructions on your screen. Be sure to select Include attachments if you want them in your backup. The backup will not include attachments from online sources such as Google Drive, OneDrive, Box, Dropbox, Evernote, Egnyte, or URL.
  4. Select OK.

After you request a backup, you can download the backup directly from Smartsheet.

If you are on a Business or Enterprise plan, you can also schedule recurring weekly backups
