Where can I find information about data hosting options?

Can I migrate my existing data?

The region in which customer data resides is determined at the time of account creation. To ensure data privacy and regulatory standards are met, there is no connectivity between Smartsheet regional instances. For this reason, data migration between regions isn't enabled.

Can I share assets with a colleague in our US commercial instance?

No. You can't share an asset to a Smartsheet (US) instance from the Australia (AU) or European Union (EU) instance. You can't access assets across plans, regardless of whether you're licensed (legacy model) or a member (user model). Smartsheet prevents assets from being shared to keep customer content separated across regions. 

Do I need an account for each Smartsheet Region instance? Which region should I buy?

Your data hosting requirements determine what you should purchase.

You need a plan for each location where you host data. For example, if your organization hosts data in the AU, EU, and the US regions, you need three plans. If a single hosted region is enough, purchase an AU, EU, or US plan.

You can be a subscribed user in one Smartsheet Region instance and a Contributor or Guest in another. To create content in multiple regions, you must be a licensed user (in the legacy model) or member (in the user model) for each region.

Is storage all cloud-based?

Yes, Smartsheet EU is hosted in an AWS Cloud in Frankfurt, Germany, with backup in Dublin, Ireland. Smartsheet AU  is hosted in an AWS Cloud in Sydney, Australia, with backup in Melbourne, Australia.

Can I transfer item ownership between a Smartsheet (US) instance and a Smartsheet Regions EU or Smartsheet Regions Australia instance?

You cannot transfer objects (sheets, forms, containers) across regions. Smartsheet content remains in the region where it was created.

 

Are Contributors and Guests available on Smartsheet Regions?

Yes, though non-Members (user model) or users without a license (legacy model) are region-specific. It's possible to be a Contributor or Guest on an account in the US, AU, and EU instances.

 

 

Can you create formulas that reference sheets in different regions?

No. You can’t reference sheets across regional instances in formulas. Sheets aren't visible across the US, AU, and the EU instances, and you cannot create cross-region formulas.

Can I use Smartsheet Control Center across regional instances?

No. Smartsheet Control Center (SCC) doesn't work across the US, AU, and EU instances. Based on your plan, you can purchase separate US, AU, and EU instances of Control Center.

Does WorkApps work in Smartsheet Regions? Can a WorkApps user in the US instance see an EU instance asset via WorkApps?

Yes. WorkApps are available on Smartsheet Regions. Based on your plan, you can purchase separate US and EU instances of WorkApps.

WorkApps aren't available in the Smartsheet Region Australia instance.

Data for Smartsheet assets within a WorkApp remains in the region where the WorkApp is hosted. For example, on an EU-hosted instance, a WorkApp includes only content from the EU region, and updates are hosted there as well.

Anyone can be shared to a WorkApp, and depending on permissions within the WorkApp, may be able to make edits. Still, that data remains hosted in the region where it was created.

 

How does the API work in the EU and AU-hosted instance?

Smartsheet Regions EU and Smartsheet Regions AU are separate data islands, each of which has its API tokens. As an API developer working on a Smartsheet Regions EU or Australia account, you should be aware of the following differences from the standard API:

  • The base URL for each API call is:
    • Smartsheet.eu for Europe
    • Smartsheet.au for Australia.
  • The API documentation uses smartsheet.com in all examples.
  • Smartsheet Regions EU and Australia use a separate token from Smartsheet.com:
    • api.smartsheet.eu for Europe
    • api.smartsheet.au for Australia.
  • If you use a Smartsheet SDK, you must modify the standard config file to point to Smartsheet. EU (Europe) or smartsheet.au (Australia), according to your region.

Can customers consolidate multiple accounts across more than one regional instance of Smartsheet?

You cannot merge accounts across regional instances. Contact your sales rep to discuss other options.

Can you embed a sheet from one Smartsheet Regions instance via a web content widget in another Smartsheet Regions WorkApp/Dashboard?

Yes, you can embed published assets across Smartsheet Regions instances.

Does the Smartsheet mobile app work with Smartsheet Regions?

Yes. When you log in to the Smartsheet mobile app, you can change your region instance selection on the login page. Select your region instance at the bottom of the login screen.

Do I need to be physically present in Australia to access Smartsheet Regions Australia?

No. A user can access Smartsheet Regions Australia from anywhere in the world. For example, a user in the US or Japan can access an instance hosted in Australia. All updates, regardless of the user's physical location, reside in Smartsheet Regions Australia.
