Who can use this capability

All licensed users can use the schedule view, however the projects visible will vary based on permission level.

All licensed users can use the schedule view, however the projects visible will vary based on permission level.

View the schedule for people or projects 

  1. On the navigation menu, select Schedule.
  2. In the upper-left area of the Schedule page, select Menu icon.
  3. In the left pane, select one of these views:
    • People: See how long a coworker or a team will work on a project(s).
    • Projects: See the duration of past, current, or future projects.

In people or projects view, gray indicates excluded information. Remove the filter to access it.

Filter data in People view

You can choose the information that will appear in this view: 

  1. In the left pane, go to the people filters section.
  2. Set up the filter(s) that you want to apply in people view: 
    • Everyone (default): the entire organization
    • Project Access: level of access you have to the project. This filters the view to projects that you own or are assigned, or projects that you are unaffiliated with. Project editors can see all assignments in people view, but they cannot modify assignments for projects owned by others. They can only see a high-level summary of assignments for projects they are unaffiliated with.
    • Project Owner: the person who acts as the project manager or main point of contact for the project
    • Billable: choose only billable or non-billable people. Non-billable people have a 0% utilization target in their profile settings.
    • Role: a specific title or position
    • Discipline: the same department(s) or people who perform the same type of work
    • Project: people on a specific project or other event, such as vacation or sick leave
    • Team Member: specific people or placeholders
    • People Tags: specific tags
    • Clients: assignments that relate to selected client work
    • Location: people based in selected location
    • Team Member Type: your people (confirmed) or placeholders (placeholders)
    • Work Status: assignments marked with your selected status
    • People Custom Fields: people who match your custom criteria

Sort data in People view

You can also arrange the data you see in people view:

  1. In the left pane, select the Sort By field. 
  2. Choose how you want to arrange the data in people view:
    • First Name (default): alphabetically by first name.
    • Last Name: alphabetically by last name.
    • Role: by role in alphabetical order by first name.
    • Discipline: by discipline in alphabetical order by first name.
    • Availability: from most to least available. This view shows who can take on work for certain project types, or who’s available during a specific period of time.

Build a skilled team

In people view, you can group or filter resources according to their skills. You can also save the filter view to easily access and modify it. 

Before you begin

Before you can build a skilled team in people view, a Resource Admin will need to add custom fields for skills for people. Adding a custom field for skills helps you easily find team members when you assign and reassign work to them.

Save a Skills filter in People view: 

  1. In the skills section, select a skill(s). 
    • In this example, you’re building a team with skills relevant to instructional design or e-learning.
  2. In the left pane, go to either of these sections:
    • My Views
    • Shared Views. Only admins can create shared views. 
  3. Select Save Current View
  4. Enter a name for the filter view. 
  5. Select Save. You can use Save View for every filter you create.

Filter data in project view

You can choose the data that you want to see in this view: 

  1. In the left pane, go to the project filters section.
  2. Set the filters that you want to see in project view.
    • Time Frame: view past, current, or future projects.
    • Project Access: level of access you have to the project. This filters the view to projects that you own or are assigned, or projects that you are unaffiliated with. This filter is locked to my projects for Project Editors, since they cannot access projects they are not assigned to or don’t own.
    • Project Owner: the person who acts as the project manager or main point of contact for the project
    • Project: select one or more projects
    • Project Type: select project types (e.g., Confirmed, Tentative, Internal)
    • Client: projects for a specific client
    • Project Tags: projects with specific tags
    • Project Custom Fields: projects matching specific criteria

Sort data in Project view

Similar to people view, you can arrange the data that you see in project view. 

  1. In the left pane, select the Sort By field. 
  2. Choose how you want to arrange the data in Project view:
    • End Date (default): sort projects with the earliest end date first.
    • Start Date: sort projects with the earliest start date first.
    • Project Name: sort projects by project names in alphabetical order.
    • Client: sort projects by client names in alphabetical order.
